Our Client Onboarding Process

  1. Initial Consultation: Complimentary consultation to understand your travel dreams, preferences, and priorities — destinations, style, budget, and must-have experiences.
  2. Planning Fee Agreement: Before we begin, we require a signed Planning Fee Agreement. This ensures our time, expertise, and resources are dedicated exclusively to you. The fee is credited toward your trip upon booking, or compensates for the professional design work if you choose not to proceed.
  3. Curated Itinerary Design: We craft a bespoke itinerary with luxury accommodations, transportation, curated activities, and exclusive amenities, leveraging our global partner network for VIP experiences.
  4. Refinement & Approval: We review the itinerary together, making adjustments until it’s perfect.
  5. Seamless Booking & Coordination: We handle all bookings and payments with vetted suppliers, delivering a consolidated travel package with documents, confirmations, and insider tips.
  6. Pre-Departure Concierge Support: Assistance with last-minute details, reservations, packing tips, and travel advisories.
  7. During Your Trip: We monitor your journey and provide support for changes or special requests — ensuring a smooth experience.
  8. Post-Trip Follow-Up: We check in upon your return to hear your feedback and refine future travel experiences.

  • The planning fee is due before research and itinerary design begin.
  • If you book through Cruise & Beyond, your planning fee is credited toward your trip (or refunded upon full payment, per invoice).
  • If you choose not to proceed with booking, the planning fee is non-refundable and compensates professional planning time.
  • If the trip is canceled after booking, the planning fee is forfeited; supplier policies apply to booked components.
  • Quotes are time-sensitive; to retain any fee credit, bookings should be confirmed within 30 days of proposal (unless noted otherwise).
  • Significant scope changes may require an upgraded tier or an additional fee (always discussed in advance).
